Before Putting Work Files Into an AI Tool, Check the Data Rules

Uploading a work document to an AI service is a data-handling decision. Before doing it, understand what the document contains and whether your employer permits that service for that type of information.

Introductory AI training can help users understand tool capabilities, but it does not replace an organization's policies. Use the tool provider's current documentation and your employer's guidance to check retention, access, and permitted use.

Our suggested checklist asks whether the file contains customer details, employee information, credentials, unpublished plans, or contract restrictions. Consider whether a synthetic example or a redacted excerpt could answer the same question. Ask the responsible team when the rules are unclear.

Keep the decision separate from the convenience of the task. A service's free and enterprise offerings may have different terms, so verify the exact product and account. Do not assume that removing a name alone makes a document suitable for upload.
